Policies

Emergency cancellation procedure

While it is our sincere goal to have all classes occur at their scheduled time, day and location, we ask that you please recognize that there may be situations that develop beyond the control of our teachers and the program. Should there be such an occurrence, the following procedure will apply:

Before-school class

The ESP teacher will call all parents, the school, and the ESP office to notify them of the class cancellation if the emergency arises before the start of class. If parents are considered to be en route, the teacher will call the school office and the ESP office to inform them of the emergency. If there are multiple ESP classes at a school, the office will be instructed to combine two classes. If there is only one class at a school, ESP appreciates the school’s recognition of the situation as an emergency and their cooperation in providing whatever supervision may be available in such a circumstance. That class will be made up in order to complete the 40 classes total.

After-school class

If there are multiple ESP classes at a school, the office will be instructed to combine two classes where possible. If there is only one ESP class at a school, the ESP teacher will call all parents, the school office, and the ESP office to notify them of the class cancellation as soon as the emergency arises. If the teacher does not have the student list with him/her, the ESP office will contact the parents of these students. Either the teacher or the ESP office will ask parents/guardians to pick up their children. The school office will be asked to send a note and/or make an auditory announcement about the schedule change and direct students to return to the office if pick up does not occur within 10 minutes of the normally scheduled time. If the ESP office cannot speak directly with a parent/guardian or a parent is unable to accommodate the schedule change, the ESP office will notify the school. The school may assist with further emergency contact numbers and will expect the student to return to the office.

ESP is not responsible for students that do not return to the school office in the event of an emergency cancellation (Only if the child is not picked up by a parent/guardian at the agreed upon emergency pick-up location.)

ESP Policies

This form must be received prior to the class start date for your child(ren) to attend.

Classes fill up early, so please register as soon as possible. If a minimum number of students is not registered one week prior to the start of classes, the class will be cancelled and all the parents will be given a full refund.

Sibling discounts

If two or more siblings enroll in ESP classes, the second child will receive a tuition discount of $25. A third child will receive a $50 tuition discount.

Program

The yearly program consists of 40 classes that are divided into two semesters.

Refund Policy

  1. ESP will give a full refund if we cancel a class. Any payments that have been processed will be refunded by mail via check.
  2. If a child withdraws from the ESP class before the session has started, a full refund will be given.
  3. If a child withdraws before the fourth scheduled class session, a partial refund, which is a prorated amount will be given.
  4. Except under the above-mentioned circumstances, no refunds will be given. (We are a non-profit and our budget is highly dependent on meeting the minimum enrollment throughout the year, to ensure ESP has enough money to run a class for the whole year.)

Payment Policy

Payment must be received in full at the time of registration. There will be a $25 charge for insufficient fund checks returned by the bank. There is a $25 surcharge for split payments.

Classroom Behavior

ESP teachers adhere to the following classroom management procedures to ensure an environment conducive to all students learning.

  1. Teachers will address a student’s disruptive activity using the following:
    1. First occurrence: Caution the child if behavior occurs that exceeds established classroom rules.
    2. Second occurrence (during the same class period): Give the child a direct consequence such as a short separation from other students.
    3. Third occurrence (during the same class period): Contact the parent(s).
  2. If a teacher contacts a parent regarding student behavior, he will also inform the ESP Director. ESP encourages parents to share information with the teacher, speak to the child about the occurrence, and attend the next class. Additionally, the ESP Director will promptly observe the class and advise the teacher.
  3. Upon the third disciplinary call, a disruptive student will be asked to withdraw from the class with NO REFUND.

Release form – Community school physical activities

I give my permission for my child to participate in this activity. I acknowledge that participation in this activity involves some risk of injury or death, and I assume these risks. I further acknowledge that the participant is physically capable of performing in this activity. I release and hold harmless Elementary Spanish Program and its personnel from any liability for any injury or death arising from participation in this activity.

Procedures for absent students

In order to ensure the safety of all our students, ESP requests that parents notify their Spanish teacher if a child will be absent from Spanish class. If a child is absent from class and the teacher has not been previously notified of the absence, the following actions will be taken:

  1. The teacher will contact the ESP office staff and inform a staff member.
  2. An ESP staff member will call the parent or guardian to determine whether the child is known to be safe elsewhere.
  3. If the parent or guardian cannot be reached, the ESP staff member will call the Emergency Contact person.
  4. If the parent, guardian or the Emergency Contact person cannot be reached, the ESP staff member will inform the school’s front desk and seek the school’s help in locating the child.
